Clerk IV (Tutoring Assistant), Tutoring Center

Grade 13, AFSCME Unit position, 37.5 hours/week

Campus Location: Danvers

Work Schedule: Monday - Friday; 8:00 am - 4:00 pm

SALARY: $1,932.56 biweekly, ($50,246.56 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement. GENERAL STATEMENT OF DUTIES:

At the Tutoring Center, you will find a community of learners who work together to support each member's goals at NSCC. We strive to maintain a welcoming, supportive space that is interconnected with the wider campus community in support of student success. The Tutoring Assistant is a first point-of-service contact for visitors accessing the Tutoring Center. The position also provides clerical support for the Tutor Coordinator and Assistant Coordinator, and supervision student employees if assigned. The clerical assistant is instrumental in the Center's ability to provide both on-ground and virtual tutoring and study services and to offer technology access to our students.

ESSENTIAL FUNCTIONS:
  1. Provide receptionist and outreach services such as greeting and orienting students to the Tutoring Center and other Learning Commons Services; answering Tutoring Center phone(s); responding to and directing student queries; monitoring voicemail; monitoring and responding to electronic mail; contacting students who miss or are late for tutoring sessions; contacting students who are referred to Tutoring services.
  2. Develop proficiency with college technologies and systems (e.g. Blackboard, Navigate, ALEKS PPL, Google Workspace). Support students in accessing tutoring services via the scheduling platform, including logging in and out of the center, scheduling appointments, and navigating various system features and resources.
  3. Create and maintain office files, including spreadsheets, flyers, and other documents, using the MS Office suite and Google Documents.
  4. Research and obtain prices for supply and other purchases. Prepare and submit office supply order forms; ensure that daily supplies, such as paper, are at a sufficient level.
  5. Perform office opening and/or closing procedures for the Danvers Tutoring space.
  6. Perform miscellaneous office duties as assigned such as contacting Information Systems or printer contractor to address routine computer-related issues for the Centers; maintaining current bulletin board postings and assisting with social media postings; maintaining the Center's collection of study resources and supplies.
  7. As assigned, assist in training student employees in office procedures; provide general supervision to part-time clerks and student employees in the absence of the Tutor Coordinator. Liaise with student workers, such as Student Concierges, for Learning Commons services.
  8. Support Tutor Coordinator and Assistant Coordinator with administrative work and projects as assigned, such as visiting classes and recruitment events to promote tutoring services.
  9. Work collaboratively with the Tutoring Assistant for the Lynn Campus to accomplish assigned duties.

Job Requirements:
  • Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions.
  • Excellent oral and written communication skills; strong organizational and interpersonal skills.
  • Experience working in a fast-paced office.
  • Must be able to maintain confidentiality and calm demeanor in occasional stressful situations.
  • Proficiency with productivity software including Microsoft Office and Google Suite.
  • Experience working in a team.
  • Must be available to work during the hours posted.
  • Successful experience interacting with culturally diverse populations.
  • Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment.

PREFERRED QUALIFICATIONS:
  • Experience using social media in a work context is preferred.
  • Bilingual in English and Spanish is preferred.
